A useful renovation search starts with the work, the property and the responsibilities. A designer, general contractor, electrician and painter may each cover a different part of the project. Use this guide to prepare a consistent brief and compare the terms of actual proposals before choosing a provider.
Define the problem before choosing a finish
Write down what you want to change and why. Describe the rooms or systems involved, the property location and any known constraints. Distinguish essential repairs from optional upgrades. Photographs and approximate measurements may help a contractor understand the task, but avoid posting private security details or documents containing personal information in an open inquiry. Some work requires a site visit before a reliable proposal is possible.
Set a target budget and explain what it includes. Materials, design, permits, labour, disposal and temporary arrangements can be separate costs. Ask each provider to state its assumptions and identify items that are provisional. A low initial figure is difficult to compare when the materials and work have not been defined. Keep a reserve for issues that cannot be assessed before opening the work area.
Identify permits and regulated work early
Contact the municipality about the proposed work and determine who will investigate and obtain required permits. For regulated trades, check the authority relevant to the work. A directory category, business card or general contractor title does not establish every trade authorization. Ask who performs each part of the project and how subcontractors are selected and supervised.
If a provider says that a permit or specialist is unnecessary, ask for the basis and confirm it with the responsible authority when uncertain. Do this before agreeing to an approach that depends on that claim. The checklist here does not determine whether your particular renovation requires a permit, inspection or licensed professional.
Make the written scope detailed enough to use
Request a description of the work, materials, allowances, milestones and responsibilities. Clarify site protection, access hours, cleanup, waste disposal and the treatment of existing fixtures. Discuss who purchases materials and what happens if an item is delayed or substituted. A drawing, photograph or product reference should be identified clearly if it forms part of the agreement.
Ask how changes are priced and approved before the work proceeds. Keep a written record of accepted changes rather than relying on a conversation at the site. Discuss payment timing and what evidence accompanies a milestone. Read Ontario’s official renovation and consumer-protection information, and obtain advice about a contract issue that you do not understand before signing or paying.
Check the business and the working arrangement
Ask for the provider’s legal business name, contact person and current contact information. Discuss insurance and any licence relevant to the proposed work, then verify material claims with the appropriate source. References can help you ask about communication and project management, but they do not replace checking the terms of your own project. A PCBO badge is a separate business review and does not certify every trade.
Confirm how the household will use the property during construction. Discuss building access, pets, children, parking and where tools or materials may be stored. Identify the person who can authorize decisions and the way concerns are raised. Small operational details can have a large effect on whether the work runs smoothly.
Compare the proposals as a whole
Use the same brief for each quotation and mark differences in scope. Separate confirmed amounts from allowances and optional items. Ask about the proposed sequence, communication routine and how completion is agreed. The directory businesses below are relevant categories, not a ranking of workmanship or a guarantee of availability. Use a recorded city to narrow the search, then confirm whether the provider serves your property’s actual location.
